Perfect POD | Proof of Delivery Explained

Completing a Perfect POD (Proof of Delivery) is essential when booking with LMC Express. To qualify for our money-back guarantee, all procedures outlined in our Terms & Conditions must be followed — and a correctly completed POD is one of the key requirements.

What must be completed on the POD

Loading & delivery address

These details guide our drivers and must be accurate. The collection address is especially important if any query arises after delivery.

Delivery type

Select the correct option (for example: depot to client). This information ensures your consignment is executed correctly.

Temperature requirement

If you’re unsure which temperature applies, refer to the relevant clause in our Ts & Cs or contact us — we’re happy to assist.

Contact names & telephone numbers

Accurate contact details allow us to reach the right person immediately if any issue occurs with your consignment.

Collection & delivery date

This confirms when the transaction took place and is essential if a query or investigation arises.

Time in & time out

Please refer to the standing time clause in our Ts & Cs.
If the dispatch or receiving address does not match the booking confirmation, LMC Express reserves the right to charge for time and fuel wasted due to incorrect information.


Pallets, packing & booking accuracy

LMC Express offers a shrink-wrap service, which will be charged if you do not shrink-wrap your own product.

We also charge for packing and unpacking pallets — refer to the Ts & Cs for details.

The number of pallets loaded must match the number booked.

If more pallets are loaded than booked, we may be forced to leave pallets behind due to limited truck space.
If fewer pallets are loaded than booked, a booking fee of 75% of the transport fee for the unloaded pallets may apply.


POD requirements per load

A separate POD is required per temperature range (for example: frozen and chilled require two PODs).

A separate POD is required per delivery address.


Temperature control & claims

Our trucks are not designed to bring product temperature down. Pallets must be handed over at the correct travelling temperature.

If temperature cannot be proven at loading, no temperature deterioration claim will be considered.

The temperature recorded on the POD represents the entire consignment and is the only temperature used when assessing a claim.


Control box / sample box procedure

If you use a control or sample box:

  • It must be clearly marked

  • The temperature must be witnessed by our driver

  • The same box must be identifiable and measured again at delivery

If you choose the alternative method as per R638, all requirements must still be met.
Any temperature reading not witnessed by the driver will result in the claim being invalid.


Important notes

  • Temperature guns are early warning tools only and do not measure core temperature.

  • If a temperature gun shows a variance, LMC Express may refuse collection unless a needle probe confirms compliant core temperature.

  • Taking temperatures in a cold store with a temperature gun does not reflect surface temperature and is considered null and void.

  • If a receiving client rejects a pallet due to temperature deviation, the rejection must be validated using a needle probe on the control/sample box.

  • If no control/sample box was supplied, no temperature deterioration claim will be considered.


References, shortages & damages

At the bottom-left of the POD, ensure all reference numbers are completed:

  • PO numbers

  • AOD numbers

  • Invoice references

If reference numbers are missing or incorrect, LMC Express is not contractually obligated to retrieve or provide copies.

Always ensure the driver receives three copies of each PO or AOD at the time of loading.
